Hey everyone, I'm Jory from HIVE Strategy here today to teach you some HubSpot. Today we're going to be talking about data quality, specifically the data quality command center. Exciting, I know. Let me show you what it's all about.
To get to the data quality command center, you'll first need HubSpot Operations Hub Professional. A lot of us know about Sales Hub, Marketing Hub, and Service Hub. You might have heard of Operations Hub but don't know what it can do for you. I'm here to tell you about it.
Let's get started by navigating to Reports > Data Management.
Okay, so if you're using HubSpot, you're inherently using HubSpot to record and store data. It's one thing to do that. It's another thing to actually manage that data. You might have properties that are duplicates, you might have first names that are not capitalized. There are many issues that can come up when it comes to the integrity of your data.
This command center is a convenient tool to help you manage that. So on the left-hand side of my screen here, we'll see a dashboard for properties. Now keep in mind, at least for now, HubSpot will only show you contact and company properties in this dashboard. So what this dashboard does is it reviews all your data, and it tells you what issues you have so you can address them.
For example, it will tell you how many properties have no values in them. Here, it looks like we have 141. It will tell you how many properties are not used, for example, if they're not using workflows, forms, lists, etc. And it will give you suggestions as to what HubSpot thinks might be duplicate properties.
If we look at the right-hand side of the screen, we'll see Records. Keep in mind that for now, this is just contact records. HubSpot will review your contact records and tell you all the formatting issues that have been found, and it will identify all the duplicate contact records.
Now let's go back to Properties. If we select View All Property Insights, another dashboard will pop up, and from here, we can look at all the problems that might be going on that we may need to address. So if we just scroll down here, we can filter based on the issue. Maybe you want to see all of your properties, contact, and company properties that have absolutely no data in them because maybe we want to archive them. These are all the properties that have no data. If you go into one of these properties, you will see more detailed information.
The fill rate is very important. It's the percentage of records that actually have a value. So you can see that's at 0%. Because zero out of 9,000-something records have a value there. So you can either edit the property, or you can archive it right from here. If you're curious whether this property was being used anywhere, all you have to do is scroll down, there's a section right here. And if this property was being used anywhere, such as a workflow, list form, etc. Those assets would appear here, and you can reference them to determine if you want to do anything with them or just to get insight into your data.
In my opinion, this Data Quality Command Center is a dream for any HubSpot admin or anyone with HubSpot admin-like responsibilities. You no longer have to go into all your properties and all your records to see any inconsistencies. You can get a high-level view of all your inconsistencies and data management issues right here in this command center.
Now let me show you a little bit more on the right-hand side of the screen when it comes to records. So if we go to Records, you can see if the first name is capitalized, if the email address seems invalid, or if the email address seems like it's a temporary email address. It will also show you all the duplicates that you could address. I will cover this in a future video.
This data quality command center works very well with workflow automation. You don't have to manually change anything. You could set up a workflow to do any specific formatting you want automatically. I hope insight into this Data Quality Command Center helps.
